How to Get Notified the Moment a New Google Review Comes In
The Google Business Profile app can alert you to a new review — but its built-in settings have real gaps once you're busy, managing a team, or running more than one location. Here's what Google offers natively, where it falls short, and how to close the gap.

What Google notifies you about by default
The Google Business Profile app can push a notification when a new review, message, or Q&A comes in, and you can also turn on an email summary. Both are tied to whichever Google account is set up as an Owner or Manager on the listing, and to that person's phone or inbox specifically.
Where the native setup breaks down
- Notifications go to whoever's logged into that account, not necessarily whoever's rostered to handle reviews that day.
- Every alert looks the same — nothing distinguishes a glowing five-star review from a one-star complaint that needs an urgent response.
- Multi-location businesses get a flat stream of notifications with no easy way to see which location needs attention first.
- There's no built-in escalation if an alert is missed over a weekend, during leave, or simply because a phone was on silent.
Get the basics right before looking at anything else
Make sure the right people are actually added as Managers or Owners on the profile, rather than everything running through one person's personal login. Then check that both push and email notifications are switched on inside the app's own settings.
It's also worth checking notification permissions haven't been throttled at the phone's operating-system level — a surprisingly common, silent reason alerts stop arriving without anyone changing a setting inside the app itself.
What a dedicated inbox and alert rules add on top
Tools built for review management, including Cedric, add a shared inbox so every reviewer — across every connected location — lands in one place regardless of whose personal login is signed in. Alert rules can flag anything below a chosen star rating or containing specific keywords, so a one-star review is routed and escalated differently to a five-star one, and the right team member sees it based on their role rather than who happened to have the app open.
A simple manual fallback if you're not ready for a tool
- Check the profile at roughly the same time each day rather than relying purely on push notifications.
- Name a single backup person to check reviews over weekends or when the usual owner is on leave.
- Set a recurring phone reminder for lower-traffic locations that don't get much review volume, so they aren't quietly forgotten.
